Context
The AI Document Assistant is an artificial intelligence system that reads, indexes, and stores an organisation's entire documentation, making it queryable in plain language. Instead of manually searching through dozens of PDFs, operational manuals, or internal procedures, users ask a question as they would to a knowledgeable colleague and receive a contextualised answer in seconds, with a precise reference to the original document and paragraph. The system was built to address one of the most silent and costly challenges in modern organisations: company knowledge exists, but it is scattered and inaccessible. Manuals, regulations, HR policies, standard operating procedures: every piece of information is already written somewhere, but finding it takes minutes or hours. The assistant eliminates that wait, delivering immediate and verifiable answers around the clock, from any device.



Project conception
The project grew out of a problem observed across organisations of every size: employees waste valuable time searching for information that already exists in internal documentation. The goal was to build an assistant capable of reasoning semantically over company documents, not a simple keyword search, but a system that understands the meaning of a question and returns the most relevant answer, even when the user's phrasing differs from the original text.
System architecture
The system is built around three main components: an indexing engine that processes and stores uploaded documents, a semantic understanding layer powered by advanced language models, and a conversational query interface. Documents are processed automatically upon upload and the knowledge base updates in real time. The architecture is designed to handle large document volumes, from tens to thousands of files, without performance degradation, and ensures that all data remains exclusively within the client's environment.


Application development
The web interface runs in any browser with no installation required, designed for non-technical users. Documents are uploaded via drag-and-drop and the system supports PDF, Word (.docx), plain text, and other standard business formats. Answers are delivered in natural language with an exact source citation, document name, section, and reference paragraph, ensuring full transparency and verifiability.
Testing and release
The system was validated against real-world scenarios using heterogeneous corporate document libraries, checking answer accuracy, processing times, and correct source attribution. Deployment follows a gradual rollout by department or use case, supported by guided onboarding sessions to ensure smooth adoption across the team.
